We are seeking a detail-oriented and proactive Administrative Assistant to support our attorneys and legal operations. This role is ideal for someone who thrives in a structured, fast-paced legal environment and enjoys being the organizational backbone of the firm.Who You AreYou are a dependable professional with strong organizational skills and a proactive mindset. You understand the importance of confidentiality, accuracy, and timeliness in a legal setting. You’re comfortable juggling multiple tasks and take pride in keeping the office running smoothly.What You’ll Do Prepare and forward letters to adjusters, clients, and insureds (e.g., mediation, trial, court dates, depositions) Prepare, serve, and calendar supplemental discovery Download, organize, and chart medical records and subpoenaed documents (SDTs) Contact record vendors (e.g., ABI, COMPEX) for updates and missing records/films Handle requests for approval of films and quotes Download links and save documents to case files Calendar due dates for discovery, depositions, and other litigation milestones Assist with expert retention: Draft retention letters Forward records and materials Prepare expert files (3 days before deposition) and calendar deadlines Draft Case Management Conference (CMC) statements for attorney review Assist with trial preparation including exhibits, notebooks, and general support Prepare and serve initial discovery and deposition notices What We’re Looking For 1 years of administrative experience, preferably in a legal or professional services setting Strong organizational and time management skills Proficiency in Microsoft Office Suite (especially Outlook and Excel) Excellent written and verbal communication skills Ability to maintain confidentiality and handle sensitive information Familiarity with legal terminology and litigation procedures is a plus Why Join Us?
